EFFECTIVE 16 OCTOBER 2026
Competition privacy notice
Who we are
SportsOpenGroup Ltd, Edinburgh, Scotland, operates the ASIS Startup Competition at ASIS 2027. Contact info@sportsopengroup.com about your information, corrections or withdrawal. This notice also covers ASIS attendance and partnership enquiries.
Information we collect
Competition applications include your contact details, role, country, business and team information, product and market evidence, financial figures, a required pitch document or video, optional demonstration links and access requirements, declarations and correspondence. We record your submission time, reference and the version of the terms you accepted. Summit enquiries collect contact details, organisation, country and your selected interest. Do not provide identity documents, bank details, health records or other people’s contact details.
Why we use your information
We use application information to administer your entry and take the steps you request under the competition terms. We use our legitimate interests in fair assessment, responding to enquiries and preventing abuse for reviews and security checks. Required application messages are separate from marketing. Optional marketing and summit update messages depend on your consent. You can withdraw that consent at any time by emailing info@sportsopengroup.com; it does not affect selection.
Storage and access
Submitted records are stored in a restricted Google Sheet through a protected server connection. Your uploaded pitch document or video is stored in a private folder in SOG’s Google Drive and linked to your application. It is accessible only to the account owner and authorised reviewers granted access by SOG. Uploaded files follow the retention periods stated below. Email verification and notifications use Google services. The website is operated on SOG’s hosting infrastructure. Authorised SOG personnel and appointed delivery and review personnel may access information needed for their work. Sponsors do not receive the applicant database. Any investor or sponsor introduction is agreed with you individually. Optional website and demonstration links remain with the hosting service you choose. Share only material you have authority to disclose.
International processing
Google services may process information in countries outside the UK. Google publishes its international transfer arrangements at policies.google.com/privacy/frameworks. SOG’s team works across the UK and Ghana; contact info@sportsopengroup.com for information about the access arrangements and applicable safeguards before sharing material that needs special handling.
How long we retain records
Application and enquiry records are retained while the programme and associated follow-up are active, then reviewed for deletion or anonymisation. The normal review point is 12 months after the summit; finalist records may be needed for up to 24 months to complete programme reporting. Records needed for a specific dispute or legal obligation are kept only as long as that need applies. You can request earlier deletion or withdrawal. Marketing consent is reviewed separately and can be withdrawn at any time.
Drafts and verification
Saving a draft is optional. Text answers remain in your browser for up to 14 days, are not encrypted and do not sync to another device. Expiry is checked when the page is reopened. Clear the draft or clear this site’s browser data to remove it. Successful submission clears the saved draft. Files, declarations and verification codes are not saved in the browser draft. Reattach your pitch file when you return. Email codes expire after 10 minutes and are not included in the application register.
Your choices and rights
Depending on the circumstances, you may request access, correction, deletion, restriction or portability, and object to processing based on legitimate interests. You can object to direct marketing at any time. Email info@sportsopengroup.com and quote your application reference where available. We may request proportionate verification of your identity. You can complain to the UK Information Commissioner at ico.org.uk/make-a-complaint/ or the relevant regulator, including Ghana’s Data Protection Commission at dpc.gov.gh.
Assessment and required information
Applications are assessed by people; the service does not make automated selection or funding decisions. Required fields are needed to process an entry. A pitch deck or pitch video is required for a complete application. Optional demonstration links, access requirements and marketing choices do not determine eligibility. We will update this notice if the way we handle information changes.
